YOUR ROLE

Our Branding Procurement Coordinator is an operational role focused on managing the procurement and execution of event branding assets. You will act as the key link between our design assets and physical execution (such as signage, banners, and partner materials), sourcing print vendors, negotiating costs, managing production timelines, and ensuring everything is delivered to events on time for the events and within budget, all while keeping our brand guidelines in mind.

YOUR TASKS

Print Production & Procurement

  • Coordinate the production of all branded event materials.
  • Review artwork specifications received from our Graphic Designer or client to ensure it is technically print-ready.
  • Request quotes and compare suppliers for the best quality, lead time, and pricing.
  • Place purchase orders with print suppliers and manufacturers.
  • Resolve production issues with suppliers before delivery.

Supplier Management

  • Build and maintain relationships with print vendors and branding suppliers.

Branding Inventory Management

  • Maintain an accurate inventory of all branding assets.
  • Organize the branding in our warehouse for efficient storage and retrieval.

Event Preparation

  • Ensure all required branding assets are available, complete, and event-ready.
  • Verify that all materials have arrived and meet quality standards before departure.

Quality Control

  • Inspect delivered print materials for print quality and production defects.
  • Ensure branding is consistent with company brand guidelines.

Administration

  • Manage the branding drive, ensuring documents and assets are structured, up-to-date, and accessible.

WHAT YOU BRING

Education

  • Bachelor’s in Events, Marketing, Communication, or a related field (or equivalent hands-on experience).

Competencies

  • Technical & Print Expertise: You have a basic understanding of print production, specifications, and file preparation. Acting as the bridge between design and production, you ensure all artwork is technically accurate and ready for print.
  • Supplier & Vendor Management: You source and manage suppliers, request and compare quotations, negotiate pricing, and ensure vendors meet agreed quality standards and delivery deadlines.
  • Attention to Detail: You have an eye for detail, carefully reviewing dimensions, materials, print specifications, and artwork to ensure every branding asset is produced accurately.
  • Organised: You maintain a well-organized overview of all branding assets, keeping both digital documentation and physical warehouse inventory structured, up to date, and accessible.
  • Problem-Solving: You are solution-oriented when challenges arise. Whether dealing with production delays or last-minute changes, you quickly identify alternatives.
  • Planning: You manage multiple branding requests simultaneously, effectively prioritizing work based on project timelines and ensuring all deliverables are completed on schedule.
  • Communication: You communicate proactively with Project Managers, designers, suppliers, and other partners to gather the necessary information, resolve questions, and keep branding projects on track.
  • Languages: Fluency in written and spoken English & Dutch. Other languages are a plus.

Professional Experience

  • 1–2 years of experience in event coordination, marketing operations, or working with print/merchandise production.

Based in Belgium. While remote work will be possible, regular presence at our office in Nazareth-De Pinte is expected.
